13 best Gmail tips and tricks

Gmail is definitely one of the most popular email servers in the world, but not everyone knows all the options and tools Google offers its users. To let you know some of its most advanced or hidden features and functions, check out our list of Gmail's 13 best tricks and tips!

1. Unsubscribe from an email

Probably the most useful tip on this list is to unsubscribe from emails after you've clicked the send button, accidentally or not. To activate this function, just go to your settings and look for the option “Cancel send” in the “General” tab (the first one that appears in the settings).

With this option enabled, you can still decide how long you will have to cancel an email after it is sent, with 30 seconds being the maximum time.

2. Read your emails offline

You can't always count on a good internet connection, but at least Google gives us the option to check our emails offline!

To do this, go to your settings and select the "Offline" tab. There you will only see the option of installing a Google Chrome extension that allows you to read your emails at any time.

3. Import other email accounts into Gmail

Having to check multiple email accounts can be a bit tiring, but you can put it all together in Gmail if you want to make things easier.

To do this, go to your settings again and choose the "Accounts and Import" tab this time. Click the "Import contacts and messages" option and follow the detailed instructions Gmail will give you to set up your Google service accounts only.

4. Send messages with another email address

Just as you can receive messages from other addresses, you can also send from different emails. Go back to the same part as the previous item settings, but this time select the "Add another email address" option.

Add your preferred email address and follow any other instructions Gmail might give you to set up your account quickly.

5. Add emails to your tasks

Sometimes we run out of time to answer some emails and leave them for later. The problem is when we completely forget to respond, generating very boring situations.

To prevent this from happening, you can add certain emails (the ones you want to remember to answer) to your tasks. Just open the email in question, click the "More" menu and select the "Add to Tasks" option. This will remind you of Google Calendar later.

6. Enable automatic messaging

You may have already received one of those automatic emails that people program to answer messages on vacation. The cool thing is that it is not at all difficult to add this function to your account!

Just go to your general settings and click "Vacation Auto Responder." Customize your message however you like and save your changes to complete the process.

7. Give your account secure access to others

This function may seem strange at first glance, but it is actually quite useful at busier times in your life. It allows other people to access your account restrictively (ie they won't see anything you don't want) and answer your emails, for example.

To do this, go to the "Accounts and Import" tab in the settings and click "Add Another Account." It's important to remember that this person will be able to read and reply to your specific emails, so only add people you trust.

8. Use advanced search

To find specific things among your emails, the best solution is to use advanced search. To do this, click once on the search box at the top of the screen and you should notice that a small gray arrow appears very discreetly on the right.

Click on it and you will have several options to detail your search and find more easily what you were looking for!

9. See the latest activity on your account

If you think someone is using or accessing your account without you knowing it, there is an extremely simple way to find out. Just scroll down to the bottom of your inbox and you'll see a very small option in the bottom right corner of the screen: Last Account Activity. Click "Details" and you will see all the places and details of where and when your account was accessed.

So you can easily find out if someone else was logged into your account.

10. End your activity on a device

By taking advantage of the above, you can terminate your email activity on any device that is listed in the list we talked about earlier.

The easiest way to do this is simply by clicking on the "Exit all other web sessions" option. This way, other devices will no longer be connected to your Gmail, making your experience much safer.

11. Send Voice Messages

This is quite simple: If you want to send voice messages directly in your email, go to the "Labs" tab in your settings and enable the "Google Voice Player in Email" option.

The only thing is that you need to have a Google Voice account, something very simple and free to do.

12. Activate the “Submit and Archive” button.

To avoid wasting time selecting multiple emails in the inbox to archive them, you can simply activate the send and archive email button, a function that automatically does this with your click.

To do this, go back to the "General" tab in the settings and select the "Show Submit and Archive in Response" option.

13. Change the Gmail Theme

This tip is even well known among many Gmail users. With it, you can change the background design of your Gmail and your inbox, making it more personalized.

To do this, just go to the gear icon (the settings) and choose the "Themes" option. Then you can choose from several different themes for your email, and you can even choose from photos that are saved on your PC
